WHAT IS THE ACA?

The ACA is the Affordable Care Act, aka Obamacare, and was enacted by President Obama to ensure that all Americans have access to affordable health care coverage.

WHY DOES MY COMPANY HAVE TO REPORT TO THE IRS UNDER THE ACA?

The Form 1095-C, aka the “health care W-2,” provides documented proof that all applicable employees were offered health care coverage. Under the ACA, the law requires employers to provide coverage to applicable employees.

I SERIOUSLY HAVE TO REPORT? SERIOUSLY?

Yes. The IRS requires every applicable large employer (ALE) to provide a Form 1095-C or Form 1095-B to every employee who was a full-time for any amount of time during the calendar year. In addition to determining which employees receive a form, employers must also calculate the Offer of Coverage Code, the Employee Share of Lowest Cost Monthly Premium for Self-Only Minimum Value Coverage, and the Applicable Section 4980H Safe Harbor Code for each employee for every month of the reporting year. Each Applicable Large Employer must also file an informational return with the IRS that includes copies of each Form 1095-C that the employer provided to an employee.

WHAT IS MZQ’S APPROACH TO IDENTIFYING “FULL-TIME” EMPLOYEES?

Many employers know who their full-time employees are. Other employers, particularly those with significant numbers of part-time or variable hour employees, may need help applying the IRS safe harbor rules to make this determination. For employers that need it, we offer an add-on ACA Tracking Service to determine which employees are full-time under the ACA.

THESE FORMS ARE NOT DUE UNTIL NEXT YEAR. DO I NEED TO WORRY ABOUT THEM YET?

Yes. The forms report on the calendar year and there is a lot of work that needs to be done to prepare.

HOW DO I FILL OUT MY FORM 1094-C?

If you choose MZQ we will do that for you. The summary information on the Form 1094-C is based on the Form 1095-C details. Our price includes completing the Form 1095-Cs and the associated Form 1094-C.

HOW DO I FILE MY FORMS 1094-C/1095-C WITH THE IRS?

If you are filing 250 or more forms, you must e-file your 1094-C/1095-C forms using the Affordable Care Act Information Returns (AIR) Program. You will need an AIR Transmitter Control Code (TCC) to do this. If you choose MZQ we will e-file for you. It’s all included!

If you are filing fewer than 250 forms you can choose to e-file or send in the mail. If you choose MZQ we will e-file for you. If you choose to file through the mail, please note that the filing deadline is earlier than the e-file deadline.

HOW DOES MZQ COLLECT DATA?

All data is uploaded and stored in an encrypted Box.com account. Data is processed through a secure, cloud-based server. We take protecting your data very seriously.
